Creating CCYC mailing labels using:
Microsoft Word and Excel 2000
SAVE A LOCAL COPY OF THE CCYC ROSTER
1.
From the Windows Start menu Choose "Run..." and type (figure
1) :

The CCYC
Roster should now be displayed in your web browser.

From the browser, choose the menu action "File,
Save As..."
4.
In the Save
As dialog, select the folder "My
Documents", the press "Save",
which should save the file "Roster.xls" in your "My
Documents" folder (figure 2).
5.
Close the roster in your web browser by choosing "File,
Close".
CREATE MAILING LABELS
1.
Open Microsoft Word.
2.
Choose menu action "Tools,
Mail Merge..."
3.
From the Mail
Merge dialog choose "Create"
then "Mailing Labels"
(figure 3).
4.
When prompted to create mailing labels, choose "Active
Window" (figure 4).
5.
From the Mail
Merge dialog choose "Get
Data" then "Open
Data Source..."
6.
From the Open
Data Source dialog, select the folder "My
Documents" then change the selection for "Files of type"
to be "MS Excel Worksheets (*.xls)"
the highlight file "Roster.xls" and choose "Open" (figure 5).

When prompted to choose a "Named or cell range" choose "Mailing_List"
from the list (figure 6).

When prompted choose "Set Up Main Document" (figure
7).
9.
Now choose the types of labels to create, for example choose "Avery
standard" and "5160
- Address" for the "Label Products" and "Product
number" fields (figure 8).

Choose OK when finished
choosing your label type.

Now from the Create
Labels dialog, choose "Insert
Merge Field" and then "BOAT_NAME"
and press [Enter].

Repeat the step above to add the fields "MEMBER_NAMES",
"ADDRESS" and “CITY_STATE”
each on their own line (figure 9).

Choose OK from the
Create Labels dialog.
14.
From the Mail
Merge dialog choose "Merge..."
(figure 10).
15.
From the Merge
dialog, choose "Merge"
again (figure 11).
16.
A new document will be created that contains all members’ names and
addresses in label format. Print
this file onto your blank labels and you’re done!
